The Tender Response Process — Step by Step

1. You send us the documentation. Forward your RFT, RFQ, or expression of interest documents to hello@simplevendingsolution.com.au. We respond within one business day to confirm receipt and our intent to respond.

2. We prepare the submission. We compile all required documentation, complete your response schedules, and address every evaluation criterion in your tender document. If we need clarification on any requirement, we’ll ask during your Q&A period.

3. Site visit (if required). For complex multi-machine tenders, we can arrange a site visit to assess locations and confirm technical requirements before finalising the submission.

4. Submission and follow-up. We submit our response within your deadline. After submission, we remain available for evaluation panel questions, clarifications, or presentations.

5. Contract execution and installation. Upon award, we coordinate machine delivery, installation, and service commencement according to the timeline specified in the tender.

Frequently Asked Questions

Q: Can you respond to a tender on short notice? Typical tender response times vary by complexity. A standard single-site RFQ can be turned around within 3–5 business days. Complex multi-site RFTs may require 2–3 weeks. Tell us your deadline upfront and we’ll confirm what’s achievable.

Q: Do you charge anything to respond to a tender? No. Tender responses are provided at no cost.

Q: Does our organisation pay anything for the vending machines after award? No. Our standard model is zero-cost to the venue: we supply, install, stock, and maintain all machines. We earn revenue from product sales. If your tender requires an alternative commercial arrangement (e.g. site rental, revenue share), we can discuss — but the default model is zero cost.

Q: Can you provide references from other public-sector sites? Yes. We can provide references from existing school and public-sector clients for your evaluation panel. Contact us with your requirements.

Q: Do you have experience with NSW Government procurement rules? Yes. We understand the requirements around probity, value for money, conflict of interest declarations, and compliance with the NSW Procurement Policy Framework. We structure our responses accordingly.
