You need three things ready before the vending machine arrives: a standard 240V power point within 1.5 metres of where the machine will sit, a level floor space roughly 1m × 1m with clearance above, and someone to unlock the door on installation day.

That’s it. Most Sydney venues already have all three.

The rest — the machine, the stock, the payment system, the remote monitoring, the ongoing restocking — is our problem. But getting those three things sorted before install day means your machine is selling snacks within hours, not days.

The 3 Hard Requirements

If these aren’t met, the machine can’t go in. Full stop.

Power is the one that catches people out. If your break room has one double outlet and it’s already running a microwave, kettle, and fridge, the machine needs its own socket. We’ll check this during the site assessment — but if you’ve rearranged the room since then, flag it before install day.

These aren’t blockers, but they make everything smoother.

Wi-Fi isn’t required — the machine will work perfectly offline. But with Wi-Fi, we know exactly when stock is running low and can restock before your team sees an empty row. Without it, we’re guessing. Most venues with 20+ staff want the connected version.

Who Needs to Know: The Approval Checklist

Vending machine installation sounds simple. Then someone in building management asks who approved it, and suddenly there’s a problem.

Before install day, make sure these people know:

If Building Management Pushes Back

The most common objection we hear is “our building management won’t allow it.” In practice this is rarely a real blocker, because the machine:

  • Is self-contained — no structural modifications to the building
  • Plugs into a standard power outlet — no electrical work required
  • Operates quietly — compressor noise isn’t audible beyond 1–2 metres
  • Is professionally maintained — no mess, no vermin risk, no food waste accumulation
  • Is fully insured — your building carries zero liability

If they want paperwork before signing off, we can provide:

  • Machine specifications and dimensions
  • Public liability certificate of currency
  • Installation methodology statement
  • Direct contact details for their questions

If your building has a formal application process, we’ll complete whatever forms they need.

The Week-Before Checklist

Seven days out, run through these:

  • Confirm the machine location hasn’t been repurposed (someone didn’t move a filing cabinet into that corner)
  • Test the power outlet — plug something in, make sure it works
  • Confirm loading dock / delivery access for the scheduled time window
  • Arrange a visitor pass or key access if your building requires it
  • Send the stakeholder email (see above)
  • Tell your team: “We’re getting a vending machine next week. Snacks. Drinks. Tap-and-go. You’re welcome.”

The Day-Before Checklist

  • Clear the install area — remove furniture, boxes, anything within 2 metres of the machine spot
  • Ensure the path from delivery point to install location is clear (propped-open fire doors are fine — we move fast)
  • Charge your phone — you’ll want a photo of the stocked machine to send to the team

Installation Day: What Actually Happens

Here’s what to expect so you can plan around it.

Duration: 1–2 hours from arrival to a fully stocked, working machine.

What we do:

  1. Deliver the machine to the install location (dolly / pallet jack — standard doorways are fine)
  2. Position and level the machine
  3. Plug in, power on, run diagnostics
  4. Stock the machine with the agreed product selection
  5. Test payment system — run a test transaction
  6. Brief your contact on: how to report a fault, who to call, emergency power-off procedure

What you do:

  1. Let us in
  2. Sign off on placement
  3. That’s it

What happens after we leave:

  • Your team starts buying snacks immediately
  • We monitor inventory remotely (if Wi-Fi is connected)
  • First restock is scheduled automatically based on usage patterns

Venue-Specific Considerations

Offices

Most Sydney offices are straightforward. The machine usually goes in the break room or near the kitchen. Power and space are rarely issues. The main variable: building management sign-off — some CBD buildings require even free-standing equipment to be logged.

Warehouses & Factories

Three things to check: dust, vibration, and power stability. If your warehouse has heavy machinery that causes floor vibration, position the machine away from it. If the air is dusty (timber, textiles, cement), we use machines with better dust sealing. If your factory has frequent power fluctuations, we’ll add a surge protector — just let us know.

Gyms

The machine usually goes in the foyer or near the change rooms. Humidity is the variable. If your gym has a pool, sauna, or steam room nearby, the machine needs to be in a dry zone — standard vending machines aren’t rated for high-humidity environments. We’ll flag this during assessment.

Schools & Universities

Vandal-resistant placement matters. Machines should be in visible, well-trafficked areas — not tucked behind a building. Also: most schools ban energy drinks. We can lock out specific product rows and stock compliant alternatives. Tell us your school’s policy during assessment.

Hospitals & Healthcare

Access is often the bottleneck — loading docks, service elevators, infection control zones. We’re experienced with healthcare logistics. Tell us about any infection control or PPE requirements before install day. Some wards require proof of vaccination or site-specific inductions.

The 5-Minute Readiness Self-Assessment

Answer these five questions. If you answer “yes” to all five, you’re ready.

  1. Is there a working 240V power point within 1.5 metres of where the machine will go?
  2. Is there at least 1m × 1m of clear, level floor space available?
  3. Can a standard delivery van access your loading dock or delivery point?
  4. Have you informed building management / the relevant stakeholders?
  5. Will someone be on-site to let us in on install day?

If you answered “no” to any of these, tell us during the site assessment. Most issues are solvable. Power can be extended. Access can be arranged. But we need to know before the van arrives.

What NOT to Worry About

Things that are NOT your problem:

  • Stocking the machine. We do that.
  • Cleaning the machine. We do that.
  • Fixing the machine if it breaks. We do that, within 24 hours on business days.
  • Refunds for failed transactions. We handle those.
  • Restocking frequency. Our remote monitoring figures that out.
  • Product expiry dates. We rotate stock automatically.
  • Electricity cost. A modern vending machine uses roughly the same power as a domestic fridge — about $200–$400/year. For most Sydney venues, that’s noise.

If Something Goes Wrong on Install Day

Power outlet is dead. The loading dock is closed for maintenance. Someone parked a forklift in front of the install spot.

It happens. Here’s what to do:

  1. Call your Simple Vending Solution contact. We’ll either fix it on the spot (we carry tools and extension leads) or reschedule for the next available slot.
  2. Don’t improvise. Don’t try to move the machine yourself. Don’t wire up a dodgy extension cord. Don’t relocate it to a different room without telling us. Placement matters for sales and accessibility.
  3. We’ll sort it. Problems on install day are our problem, not yours. We’ve seen most of them before.
